Data Processing Notice

This notice explains how dojofood, Inc. ("dojofood", "we") processes the personal data you share when you use our website, submit our contact or callback forms, or write to us in the chat window.

Who is responsible

What we collect

When you submit a form we process the details you provide:

  • Name
  • Email address
  • Phone number
  • Business name or website, if you share one
  • The content and topic of your message

When you start a conversation in the chat window we also process:

  • The messages you send and the replies we send back
  • The page you were on and the language and country edition of the site
  • Your IP address and browser user agent, used to prevent abuse of the chat

Why we process it

Only to handle your enquiry: to reply, to call you back if you asked us to, to keep a record of the correspondence, and to share product or pricing information you requested. We do not add you to unrelated marketing lists and we do not sell your data.

Legal basis

We process this data based on your consent, given by ticking the consent box on the form, and because processing is necessary to respond to your request. Depending on where you live, this processing is covered by the EU/UK GDPR, Türkiye's Law No. 6698 (KVKK), and other applicable laws.

Sharing and transfers

We share form data only with the hosting and email infrastructure providers that run our service, and only as far as those services require. dojofood operates from the United States, so your data may be stored on servers outside your country; your consent on the form covers this transfer.

Chat messages are handled the same way, with one addition you should know about. So that our team is alerted and can answer you quickly, your chat messages are forwarded to a private Telegram group used only by dojofood staff, together with your name, email address and the page you were on. Telegram Messenger Inc. therefore acts as a further processor and stores this data on servers outside the EEA and outside Türkiye. If you would rather not use Telegram in this way, write to us through the contact form or to [email protected] instead, which does not involve Telegram.

Retention

We keep form submissions for as long as needed to resolve your enquiry and any follow-up, then delete or anonymise them. Chat conversations are kept on the same basis; the copy held in the Telegram group is deleted when the conversation is closed out.

Your rights

Depending on your location, you may have the right to access, correct, delete, or export your personal data, to know whom it was shared with, and to object to certain processing. To exercise these rights, email [email protected] or write to the postal address above. We respond within 30 days.
